Overview of the order processing procedure

This page explains the lifecycle of an order on BettaMax, from customer payment to successful delivery. Understanding the process helps you handle orders on time and avoid delays or complaints.

Order lifecycle #

Each order on BettaMax goes through the following stages in order, from the moment the customer places the order until it is completed.

  1. Pending — The customer has just placed an order; it is awaiting payment confirmation.
  2. Processing — Payment confirmed, order being prepared or shipped to the supplier.
  3. Fulfilled — The item has been handed over to the shipping company, and the tracking number has been generated.
  4. Delivered — The goods have been delivered to the customer.
  5. Cancelled — The order was cancelled before it reached the Fulfilled state .
  6. Refunded — The customer has been reimbursed.
Note: For sellers using Join Fulfill , BettaMax automatically moves the order from Processing to Fulfilled after processing. For Self-Fulfill , you need to manually update the status and tracking code.

Processing procedure by seller type #

BettaMax has two types of sellers with different order processing procedures. Identify your type to follow the corresponding process.

Seller Join Fulfill #

The process is fully automated. BettaMax handles sourcing, packaging, and shipping for you.

  1. Customer paid, order created is in Pending status .
  2. BettaMax confirms payment, order proceeds to Processing .
  3. BettaMax handles sourcing, packaging, and delivery to the shipping company. Orders are then processed through Fulfilled , and tracking codes are updated automatically.
  4. The shipping company has successfully delivered the order; it has now been marked as Delivered .
Tip: With Join Fulfill , you don’t need to do anything extra after the order is created. Focus on tracking the status and handling complaints if any arise.

Seller Self-Fulfill #

You manage the entire logistics process yourself. You need to proactively update the status and tracking code at each step.

  1. Customer paid, order created is in Pending status .
  2. Confirm the application is valid and proceed to Processing .
  3. Hand over the package to the shipping company and receive a tracking code.
  4. Update the tracking code in BettaMax. The order will be moved to Fulfilled . See instructions at How to update the tracking code .
  5. Track your order until it progresses to Delivered .

Order management page #

All orders are managed centrally on one page in the BettaMax dashboard. Filters allow you to quickly find orders by status or specific information.

  • From the sidebar, select Order > All Orders to view all orders.
  • Use the status filter: Pending / Processing / Fulfilled / Delivered / Cancelled .
  • Filter by date, product, or customer to narrow down the results.
  • Click the eye icon at the end of each line to view order details.

Order of processing recommendations #

To manage orders effectively, process them in the correct order each workday.

  1. Check new orders — View pending orders daily, confirm order validity. See How to read and process new orders .
  2. Update tracking (Self-Fulfill) — Enter the tracking number after handing the package over to the carrier. See How to update tracking number .
  3. Handling complaints — Handling problematic orders such as undelivered or defective goods. See Handling defective orders and complaints .

Frequently Asked Questions #

Some common scenarios when managing orders on BettaMax.

How long does a pending order have to wait before it’s automatically canceled? #

Orders that are not confirmed after a certain period will automatically be cancelled . Contact @btmcsmax for specific deadlines.

Is it possible to edit an order after the customer has placed it? #

Some information, such as the shipping address, can be edited while the order is still in Pending or Processing . Orders that have been moved to Fulfilled cannot be edited.

What should a customer do if they want to cancel their order after placing it? #

Warning: Orders that are in the “Fulfilled” status cannot be canceled or edited. If the customer requests cancellation after this time, you will need to process it according to the refund procedure.
