BettaMax Payments fee

BettaMax Payments charges a fee for processing each payment, with the rate varying based on card type and location. When you capture the payment for an order, you’re charged a BettaMax Payments fee (in your payout currency) which covers the cost of processing the payment. The fee amount depends on the type of credit card that is used, the location where the credit card is registered, and the payment method the customer used (Buy Now Pay Later, Klarna, etc.).

For example, the amount for a Visa card fee can sometimes be different from the amount for an American Express card fee. The following are the types of processing fees that BettaMax Payments charges:

  • Payment processing fees (Domestic): The cost to process credit cards that are issued in the same country or region as your store.
  • Payment processing fees (Cross border): The cost to process credit cards that are issued in a country or region different from the one associated with your store.

Refund cancellation policy

When you issue a refund through BettaMax Payments, the refunded amount is deducted from your next available payout. The refund status is marked as Pending for up to 2 business days. During this time, the funds are processed back to your customer. Due to varying processing times at your customer’s bank, it might take up to 10 business days for the refunded amount to be received.

You can’t cancel or reverse a refund after you initiate a refund from your account. 

After you’ve issued a refund, it can’t be canceled.

Refunds are issued only to the original payment method. If the card that you refunded is expired or canceled, then the customer’s bank manages the rerouting of the refund through their own processes. To claim the funds, the customer needs to contact their bank, and you can provide them with the Acquirer Reference Number (ARN), System Trace Audit Number (STAN), or Retrieval Reference Number (RRN) to help trace the transaction.

Refund timeframes

The maximum time frame of issuing a refund depends on your customer’s bank’s ability to process refunds for orders after a long period of time. You can usually issue a refund up to 120 days.

Application fees

When processing a refund, no additional application fee is incurred. However, the original credit card application fee isn’t refunded to you when issuing a refund.

BettaMax Payments incurs costs to process both the refund and the original transaction, so the original credit card processing fee isn’t reimbursed.

This means that when an order’s been paid for, if you later refund or cancel the order, then you don’t get any credit card fees refunded, regardless of whether the order was fulfilled or not.

Tracking refunds with ARN, STAN or RRN

To track the refund transaction, you can locate the Acquirer Reference Number (ARN), System Trace Audit Number (STAN), or Retrieval Reference Number (RRN) in the order timeline in the order details. ARN or RRN are assigned to refunds processed through BettaMax Payments for transactions involving Visa or Mastercard. STAN is an internal reference generated by the bank, merchant, or POS system. These unique reference numbers can be used by banks and credit card providers to trace transactions.

Resolving disputes

If a customer claims that they haven’t received their refund, then you can provide them with the ARN, RRN or STAN and advise them to reach out to their credit card provider for further investigation.

Insufficient funds with BettaMax Payments

If you’re using BettaMax Payments and you encounter a situation where your payout lacks sufficient funds for a return, the remaining amount needed for the refund is deducted from subsequent payouts until the refunded amount is fully covered.

Negative balances

Negative balances occur when the cost of refunds, disputes, or fees exceed your store’s negative balance threshold. You can view your current balance in the Payouts page of your BettaMax Account.

Each merchant has a dynamic negative balance limit on BettaMax. When you exceed your negative balance threshold, you receive a notification in your account, an email to the store owner email address.

Negative Balance Policy

A negative balance indicates that the amount owed exceeds the funds available in your account. Maintaining a negative balance may be considered a risk factor and can impact how BettaMax manages your payment account.

If your account remains in a negative balance state, BettaMax reserves the right to take one or more of the following actions:

  • Increase your reserve requirements.
  • Extend payout schedules or temporarily delay payouts.
  • Request additional verification documents or account reviews.
  • Apply enhanced monitoring to your account activities.
  • Suspend or terminate your account if the negative balance remains unresolved for an extended period.

Account holders are responsible for promptly resolving any negative balance to maintain uninterrupted access to BettaMax payment services.

Managing refunds with a negative BettaMax balance

When your negative BettaMax balance reaches this limit, your business can continue issuing refunds, but the funds aren’t returned to the customer until the negative balance is cleared. These are called pending refunds.

Orders that are refunded after the negative balance threshold has been reached have the status Pending Refund on your Orders page.

Clearing a negative balance

To fix a negative balance, you need cover the negative balance with same-day sales, next-day sales.

Considerations for managing negative balances

  • Refunds are processed in the order they were created after the negative balance clears.
  • If you issue a refund after exceeding your refund limit, then the customer is notified only when the refund has processed.
  • If your BettaMax Payments account was rejected due to negative balances, then you can reach out our support team to request reconsideration.
