Process new orders

This guide helps you read order information and perform basic processing operations on BettaMax. It applies to both Join Fulfill and Self-Fulfill sellers.

Before we begin:

  • You already have a BettaMax account and at least one order in the system.
  • Logged in at admin.bettamax.com

Access the order list. #

All orders from the store are consolidated on the All Orders page . This is the starting point for all order processing.

  1. From the sidebar, select Order > All Orders .
  2. The list displays all orders in order of newest first.
  3. Use the Status filter to filter by status: Pending , Processing , Fulfilled , Delivered , or Cancelled .
  4. Use the Date filter to filter a single entry by a specific time frame.
Tip: Check the Pending tab daily to avoid missing any new orders that need processing.

Read order details #

Click the eye icon in the Action column to open the order details page. This page consists of four main sections.

  1. Customer information : Name, email, phone number, and full delivery address (street, city, state, zip, country).
  2. Order details : Product name, variant (color, size), quantity, and price for each product.
  3. Total costs : See the following items to understand the actual profit of the order.
    • Subtotal : Total product price
    • Shipping fee : The shipping fee is collected from the customer.
    • Fulfillment Cost : The cost you pay for BettaMax
    • Discount : Applicable discount (if any)
    • Profit : The actual profit of the unit
  4. Order history : A timeline of order events, including: placing the order, payment confirmation, fulfilled, and delivered.
Note: The Profit column has already deducted Fulfillment Cost and Discount . This is the actual profit you received from that order.

Edit the delivery address #

If the customer provides an incorrect address or requests a change, you can edit it while the order is still in the Pending or Processing status .

  1. On the order details page, find the Shipping Address section .
  2. Click Edit next to the address.
  3. Edit the information that needs changing in the corresponding fields.
  4. Press Save to save.
Warning: Orders that have been completed cannot have their addresses edited. Contact support immediately if you discover an incorrect address after your order has been completed.

Cancel order #

Orders can only be canceled if they are in the Pending or Processing status and have not yet been handed over to the shipping company.

  1. On the order details page, click Cancel Order .
  2. Select the cancellation reason from the list.
  3. Cancellation confirmation.
Note: Order cancellations do not automatically result in a refund. Refunds are processed separately according to the instructions in the section on Refund and Dispute Handling .

Specific handling for each type of seller. #

BettaMax supports two types of fulfillment with different processing procedures after an order reaches the Processing status .

Seller Join Fulfill #

Once the order is in Processing , BettaMax automatically handles the entire fulfillment process. You don’t need to take any further steps; just monitor the order status and handle any customer complaints.

Seller Self-Fulfill #

After the order is processed , you are responsible for preparing and shipping it. Follow these steps in order.

  1. Prepare the goods and hand them over to the shipping company.
  2. Receive the tracking code from the carrier.
  3. Update your tracking code in BettaMax following the instructions in How to update your tracking code .
  4. Orders automatically become Fulfilled after tracking is updated.
Tip: Update the tracking information immediately after shipping to the carrier. Orders without tracking information will not be processed as Fulfilled and will affect store performance statistics.
