Update tracking code

This guide is for Self-Fulfill sellers. After handing over the order to the shipping company, enter the tracking code into BettaMax to update the order status and automatically notify customers. This takes about 5 minutes per order, or a few minutes for bulk imports.

Note: The manual tracking update feature only applies to Self-Fulfill sellers. If you use Join Fulfill, BettaMax automatically updates the tracking after processing the order, so you don’t need to follow the steps below.

Update tracking information for each order. #

Use this method when you need to update the tracking information for a specific order.

  1. From the sidebar, select Order > All Orders .
  2. Filter orders by Processing status to find orders that don’t yet have tracking information.
  3. Tap the eye icon to open the order details.
  4. Find the Fulfillment or Shipping section , then click Add Tracking .
  5. Fill in the information on the form:
    • Carrier : Choose a shipping method (DHL, FedEx, USPS, UPS, or Other).
    • Tracking Number : Enter the tracking number from the carrier.
  6. Press Save to save.
  7. The order automatically changes to the “Fulfilled” status , and the system sends an email notification to the customer.
Tip: Update your tracking information within 24 hours of handing over the package to the carrier. Customers often inquire about their orders after 2-3 days if they haven’t received a confirmation email.

Bulk tracking update (Bulk Import) #

Use this method when you have many orders that need tracking updates at the same time; it saves time compared to updating each order individually.

  1. From the sidebar, select Order > All Orders .
  2. Tap Import Tracking (or Bulk Update Tracking ) in the upper right corner of the screen.
  3. Download the template file using the Download Template button .
  4. Open the CSV file and fill in the information for each order:
    • Order ID column : Order code.
    • Tracking Number column : Shipping code.
    • Carrier column : Name of the shipping company.
  5. Save the CSV file and upload it using the Upload File button .
  6. Confirm import. The system will display the number of successfully updated orders and the number of errors (if any).
Note: If the Carrier column is left blank or the carrier name does not match the list, the system will report an error for that row. Use the correct carrier name from the sample file to avoid import errors.

Tracking edits have been updated. #

If you enter the tracking code incorrectly, you can edit it directly on the order details page.

  1. Open the details of the order that needs editing.
  2. Find the Fulfillment section , then click Edit next to the current tracking information.
  3. Update the tracking code or carrier correctly.
  4. Press Save .
Warning: Editing tracking information will not send a notification email to the customer. If you have sent an incorrect tracking number to a customer, you need to notify them manually via email or through the store’s support channel.

Check your email for customer notifications. #

After updating the tracking information, BettaMax automatically sends a notification email to the customer with a shipping tracking link. Check the email template to ensure the information is accurate before processing the actual order.

  1. Vào Settings > Email Notifications.
  2. Tìm template Order Shipped / Tracking Update.
  3. Preview the email content and edit if necessary.
  4. Verify that the tracking link is working correctly before running any actual orders.
Tip: Submit a test request to confirm that the notification email is sent to the correct address and that the tracking link leads to the corresponding carrier’s tracking page.
